Speciwomen, a nonprofit arts organization and publisher, seeks a highly detail-oriented administrative assistant. This part-time, contract role requires 1-2 days a week from 12PM-5PM, at $20/hour.
Speciwomen is a non-profit arts organization committed to giving space to womxn and LGBTQIA+ artists for retreat, research and making. We seek to challenge existing norms, promote inclusivity, and contribute to a more equitable representation of marginalized voices in the arts landscape. Philo Cohen started Speciwomen in 2015, aiming to foster safer and wider spaces for womxn artists to be recognized and heard.Our goal is to foster time, alliance, and relationships within the creative community. Headquartered in lower Manhattan, Speciwomen’s interdisciplinary program includes publishing initiatives, fellowships and residencies, and a library and digital archive.
General Expectations:
Speciwomen is seeking a proactive and highly detail-oriented Administrative Assistant to provide comprehensive support to the executive director and assist with the day-to-day operations of the organization. This role is ideal for someone who thrives in a small business, self-starter, hybrid environment and is excited about contributing to the organization’s mission. Your role will help ensure the smooth and efficient operation of Speciwomen as we work toward expanding our activities in our first year as a non-profit organization.
Primary Responsibilities:
- Administrative Support: Manage daily administrative tasks such as scheduling meetings, light handling of phone and email correspondence, website updates, and maintaining organizational files.
- Office Management: Ensure the organization’s systems and resources are well-organized and efficient. This includes document management, supplies inventory, and other office-related tasks.
- Event Coordination: Assist in planning and organizing public programs as part of Speciwomen’s fiscal year and current fundraising season.
- Social Media & Outreach: Provide light support by helping with content planning and scheduling for our social media platforms.
- Data Entry & Reporting: Maintain databases, track donor information, and generate reports as required for fundraising and outreach efforts.
- Special Projects: Assist with various initiatives and programs that align with the organization’s mission, such as fundraising efforts, community outreach, and partnerships.
- Grants: Keep grant calendar for year-round applications. Occasionally oversee grant writing and reporting for the nonprofit.
The ideal candidate possesses:
- Proven experience as an administrative assistant, office or studio manager, or similar role.
- Excellent organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Squarespace, Adobe Suite, Google Workspace and Notion.
- Social media management or basic graphic design experience is a plus.
- Passion for the arts and literary world.
- Ability to work both independently and collaboratively in a hybrid environment.
- Excellent writing and communication skills.
- Strong editing and proofreading skills.
- Familiarity with the arts and education philanthropic landscape in New York City is a plus.
- Familiarity with contemporary art is a plus.
