The Leslie-Lohman Museum of Art (LLMA) is the only art museum in the world dedicated to the artistic exploration of multi-faceted queer perspectives. Just weeks before the 1969 Stonewall uprisings, our founders Charles Leslie and Fritz Lohman held a first-of-its-kind exhibition of gay artists in their SoHo loft. The Museum grew from this early commitment to queer art and artists. Through over fifty years of exhibitions, programming, and collecting, we have forefronted the interrelationship of art and social justice for LGBTQIA+ communities in New York City and beyond. Today, the Leslie-Lohman Museum of Art embraces and challenges a rapidly evolving society, putting into action a better world for LGBTQIA+ people—with artists leading the way. LLMA offers several major exhibitions a year, film screenings, performances, artist and curator talks, and panel discussions. The Museum has a collection of over 25,000 objects spanning three centuries, and an artist archive that contains information on over 2,000 LGBTQIA+ artists—both those represented in the collection and others of interest to LGBTQIA+ audiences. The Museum is a 501(c)3 non-profit organization with official accreditation by the American Alliance of Museums.

JOB SUMMARY

The Executive Assistant will provide essential support to the Executive Director (ED), working in a rapidly evolving, forward-thinking queer art museum. This position organizes and executes a broad range of tasks for the Executive Director’s office. You will liaise with a variety of internal and external stakeholders, often serving as the first point of contact or key follow up contact. You will play a key role in ensuring the efficiency of the ED’s office; strategically managing the ED’s schedule and supporting all ED activities whether they be internal, Board-related, or external to ensure that the Executive Director is prepared for success. The Executive Assistant will be a quick study, a strong writer, a self starter, and a problem solver who thrives in a dynamic environment and is always thinking ahead. You will enjoy high levels of access and responsibility, serving as a sounding board to the leader you support and those who work closely with them. Discretion, organization, and time-management are key to the success of this position.

RESPONSIBILITIES INCLUDE:

ADMINISTRATIVE AND LOGISTICAL SUPPORT:

Timely, robust calendar oversight and schedule management including travel

arrangements and daily prioritizing of the most sensitive matters

Support all level of ED’s donor and Board engagement
Draft and circulate agendas for meetings; high level note taking and minute keeping including ‘action items’ and ‘follow-up to-do’s’
Produce successful, well-organized Board meetings and Board committee meetings
Ensure donor and prospect records are kept current in database
Maintain comprehensive and accurate records including performing minor accounting duties such as credit card reconciliations, reimbursements, and check requests
Make deposits to the bank
Oversee ordering for team snacks

WRITING, RESEARCH, AND DESIGN:

Writing, editing, and proofing emails, memos, and communications on the ED’s behalf
Support the research and drafting of ED's public remarks, press quotes, and presentations

INTERPERSONAL ENGAGEMENT:

Liaise with the Museum Board, donors, and members to support Executive Director in cultivating and stewarding productive relationships
Provide key support to the Board of Directors and Board committees
Support the work of the ED through close collaboration with the Museum’s leadership team
Strategic collaboration with all Museum staff to support the success of the ED

THE IDEAL CANDIDATE WILL POSSESS:

Bachelor’s Degree
Minimum of 2-3 years experience with demonstrated success of serving as a high-level assistant
Highly organized and detailed with strong project management skills: ability to multi-task simultaneous projects and timelines; execute tasks and meet deadlines; organize your daily workload by time-sensitive priorities
Excellent communication skills – both written and verbal; the ability to connect with a wide variety of people with particular sensitivity to LGBTQIA+ communities
Experience working collaboratively with a variety of different colleagues and partners in particular, with high-level donors, Board members, and leaders
Mature ability to manage relationships with confidentiality, discretion, and diplomacy
Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Forms) including basic graphic design skills
Some experience in special events and production support
Proficiency working in database systems
Passion for the Leslie-Lohman Museum of Art’s mission and vision
