Profile:
The Executive Administrative Assistant is tasked with a variety of administrative duties that require confidentiality, initiative, and sound decision-making. Day to day responsibilities include providing high-level administrative support for the executives and their team as well as other stakeholders. This position involves handling confidential information requests, preparing reports, and performing clerical tasks such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and managing travel arrangements and calendar.
The ideal candidate for this position must demonstrate the ability to interact with teams (at all levels) in a fast-paced environment, at times under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism that is crucial to this role.In addition, ability to develop relationships in a highly matrixed organization, as well as experience in handling the administrative and executive support related tasks with minimal supervision is essential to success in the role.
Job Responsibilities:
- Efficiently manage calendar, schedule and coordinate meetings, conferences, and appointments. Prioritize and optimize the executive's time to ensure productive work flow.
- Arrange complex domestic and international travel itineraries, including flights, accommodations, ground transportation and dining. Provide comprehensive travel packages with all necessary documentation and information.
- Prepare meeting agendas, presentations, and relevant materials, coordinate logistics for internal and external meetings, ensuring smooth execution.
- Organize and maintain confidential files and documents, both Digital and physical, assist in preparation of reports, memos, and presentations.
- Monitor and reconcile expense reports, ensuring accuracy and compliance with company policies.
- Ability to adapt procedures, processes and techniques to the completion of assignments and in line with the department's activities and goals.
Required Qualifications, Capabilities, And Skills:
- Bachelor's Degree required (Business Administration or Finance preferred)
- Minimum 8 years of experience working as an administrative assistant, providing support to high profile stakeholders.
- High energy but composed, with a good speaking voice, excellent presentation and confident demeanor
- Proactive rather than reactive – plans for all eventualities but ability to be flexible to changing work demands at short notice
- Discretion and trustworthiness
- High performer who develops careful plans and execute consistently and effectively
- Must be a big picture person while still able to consider the smallest detail
- Able to work collaboratively and bring out the best in people
- Sense of humor, humility, earnestness and bright disposition essential

This job is full-time onsite in the office.
The pay range for this position is: $110,000 - $150,000 per year
