The Program Mgmt Intmd Analyst is a developing professional role. Deals with most problems independently and has some latitude to solve complex problems. Integrates in-depth specialty area knowledge with a solid understanding of industry standards and practices. Good understanding of how the team and area integrate with others in accomplishing the objectives of the subfunction/ job family. Applies analytical thinking and knowledge of data analysis tools and methodologies. Requires attention to detail when making judgments and recommendations based on the analysis of factual information. Typically deals with variable issues with potentially broader business impact. Developed communication and diplomacy skills are required in order to exchange potentially complex/sensitive information. Quality and timeliness of service provided will affect the effectiveness of own team and other closely related teams.
Responsibilities:
Supports planning, directing and coordination of day-to-day activities of running a program or portfolio of programs.
Responsible for the review and analysis of the financials including investigation of variances noted for the period.
Reports to the Business Management Office Head any inconsistencies or improprieties noted during the review.
Identifies primary drivers for cost movements and variances observed, and ensuring recovery and costs are close to budgeted numbers and plan.
Analyzes data to ensure proper accounting booking procedures have been followed.
Ensures timely booking of accrual entries for the Centre.
Reviews and analyzes payments and ensure expenses are charged to the proper cost center.
Provides timely, relevant and accurate reporting & analysis of the results of performance against historical, budgeted, forecasted and strategic planning results to facilitate decision-making toward the achievement of the budget and strategic plan.
Monitors monthly productivity and provides inputs to ensure timely reporting of Productivity Saves.
Maintains hiring and attrition tracker.
Provides weekly variance analysis on HC movement, requisition control, generation of weekly/monthly HC reports.
Supports the preparation of monthly packages for senior partners to review as well as and various ad-hoc reporting requests from senior leadership.
Identifies program risks, perform probability and impact analysis, determine responses to risks, track risks, and execute responses as needed.
Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Description:
The Grants Analyst is a key member of the Community Investing and Development (CID) Operations and Business Management team, reporting to the VP, Grants Manager and primarily supporting the Citi Foundation. The CID group works to enhance Citi’s positive social impact through strategic philanthropy, community relations, equity investing, and innovative financial solutions. The Foundation works to promote economic progress and improve the lives of people in low-income communities around the world. The Grants Analyst has specific responsibility for supporting grants administration as well as information and reporting system management.
Key Responsibilities:
Grants Administration (50%):
Perform due diligence and completeness review of grant applications and liaise with applicants, Foundation program officers, and Citi colleagues worldwide to ensure grants meet Foundation requirements
Assist in coordination of grantee onboarding and grant payment processes
Respond to Foundation-related and grant-specific inquiries from current and prospective grantees and from Citi colleagues
Ensure timely receipt of grantee reports and grant modifications
Prepare approved grants for Community Reinvestment Act (CRA) verification
Advise on process improvements to increase efficiency; systematize and document processes and procedures
Assist as needed with similar workstreams supporting other CID units, including U.S. Community Relations
Information and Database System Management (40%) :
Prepare and provide data for external benchmarking surveys, assist in ad hoc reporting, and run regular efficiency metrics for internal and external purposes
Support the team in providing top-notch user experience for internal and external users of the grants management and business process management systems (including customer service, technical support, and problem resolution)
Ensure data quality assurance process is in place and regularly completed
Advise on appropriate system and workflow improvements
Operations Administration (10%):
Assist in ensuring adherence to Citi compliance requirements and initiatives such as internal and external audits, screenings, Anti-Bribery & Corruption approvals, Managers Control Assessment, Information Security, Continuity of Business, and Records Management
Process vendor invoices and submit purchase orders for payment
Provide administrative support to senior managers, including scheduling meetings, planning travel, and processing Travel and Expense reports
Support departmental needs and manage special projects as needed
Qualifications:
Bachelor's degree and 1+ years in public affairs, philanthropy, corporate social responsibility, or related field, or in a financial, operational, or similar administrative role in high-volume, fast-paced, compliance-minded, audit-ready environment
Detail-oriented and organized and able to prioritize and multi-task
Excellent communication skills, both written and oral; customer service mindset
Excellent organizational and time management skills
Highly proficient in MS Office (Excel, Word, Outlook, and PowerPoint) and ability to quickly learn new software programs
Willing and able to perform administrative tasks as instructed but also to work independently on self-directed projects
Able to work with staff to problem solve and troubleshoot general inquiries
Knowledge of Fluxx or other grants management software preferred
