Roundabout Theatre Company, one of the nation’s largest not-for-profit theatres, seeks an energetic, personable individual to join the company as the Education Coordinator, Operations.
This full-time, on-site position will provide general administrative and event support for all education and community partnership programs and maintain administrative protocols and operational procedures as they relate to financial recordkeeping, reception, and office management. This position reports to the Director of Career Training & Operations.
This is some of what the Education Coordinator, Operations will do:
- Provide general administrative and event support for all educational programs.
- Maintain current protocols and procedures as they relate to invoicing, accounts payable/receivable, and record keeping for the Education department.
- Create, distribute, and track Education department invoices, purchase orders, and accounts payable/receivable for the department.
- Manage and process weekly payroll for Roundabout Teaching Artists in collaboration with Education staff and Roundabout Finance team.
- Maintain petty cash for the education department.
- Provide a bi-weekly report to the Director of Career Training & Operations on all financial matters related to the department.
- Maintain filing systems.
- Working closely with Roundabout's HR team related to onboarding new dept. staff, teaching artists.
- Maintain contact information, event attendance, and program engagement records for education constituents via Tessitura.
- Maintain all office equipment, supplies, and education department spaces.
- Maintain office calendar electronically, including scheduling requests for Director of Education and dept. wide programming/activities.
- Coordinate with Roundabout’s facilities and space management teams to schedule spaces across Roundabout's offices and theatres.
- Co-supervise the TWDP: Admin Education Fellow
- Take and distribute minutes for the department.
- Contribute to weekly staff meetings and participate in staff professional development events.
- Liaise with Development department regarding Education Committee events and aid in the coordination of site visit opportunities.
- Coordinate weekly department activities memo and detailed program related event memos for internal staff.
- Provide education event support including catering, materials preparation, scheduling, and event set-up/break-down.
- Communicate with teaching artists, school representatives, external clients, and Roundabout staff via phone, email, and in-person meetings to assist with communications and programming.
- Collaborate on, maintain, and update office administrative and programmatic materials related to department operations and communications.
- Collaborate with Education staff to ensure program is represented on Education at Roundabout’s social media.
- Represent Roundabout at arts education conferences, workshops, and other events.
- Department liaison to IT team for all education related technology issues.
- Other duties as assigned.
This is some of what the Education Coordinator, Operations should bring:
- Passion for theatre, education and organization.
- 1–2 years of fulltime, in-person administrative experience or customer service (experience in professional theatre and/or education is a plus).
- The ideal candidate will be extremely comfortable interacting with teenagers, educators, parents, artists, and arts education professionals, as well as working in collaborative settings.
- A general knowledge of all aspects of professional theatre.
- Knowledge of NYC public schools a plus.
- Strong organization and communication skills are necessary as well as attention to detail and the ability to prioritize multiple projects.
- Expert knowledge of Microsoft 365 (including Outlook, Word, Excel and PowerPoint) is required. Knowledge of Tessitura, Microsoft Teams, Google Suite, QuickBooks Time, Adobe InDesign, Canva, and/or Photoshop is a plus.
- Multilingual skills a plus.
- Must be able to lift 30 pounds.
- Must be able to maintain confidential information.
- Must have a sense of humor and a collaborative spirit.
This is a full-time, in-person 5 days a week, position with all standard Roundabout benefits. The salary is $50,000 annually plus any overtime for hours worked over 40 in a workweek. Competitive benefits package offered.
Location and Hours:
Roundabout’s Education Offices are located on the 3rd Floor of the Harold and Miriam Steinberg Center for Theatre. An elevator is available for the majority of the time, however, there are times that the elevator is not available.
The general schedule for this position is Monday-Friday 9:30am–5:30pm with some weekend and evening hours required. Note: this position is expected to arrive at the education offices prior to the general staff to prepare the space for team and program participants.
