Greene Naftali seeks a dynamic, highly organized, and self-motivated candidate to fill the role of Assistant to the Director. This is a pivotal role within the gallery and spans a wide range of responsibilities, from administrative tasks to work on larger projects such as exhibition planning and art fair logistics. The Assistant to the Director will become deeply familiar with a selection of the gallery artists’ work and will gain an understanding of the history of the gallery, as well as its latest projects. The role also involves interaction with the public, with responsibilities that include but are not limited to: greeting visitors to the gallery, answering phones, and general administrative support. The ideal candidate will have a strong interest in contemporary art, excellent organizational, writing, and technical skills, a positive attitude, and strong attention to detail, all while working in a fast-paced environment and balancing multiple projects.
KEY TASKS AND RESPONSIBILITIES
Support to the Director:
- Provide administrative support to Director (scheduling, travel planning, correspondence, etc.)
- Work with the Director on exhibition logistics and production; assist with planning for internal and external events
- Research and prepare materials on artists and their work for staff, clients, and public
- Assist with sales by drafting packages for clients and curators and tracking reserves
- Assist with the logistics of art fair presentations and the preparation of supporting materials
Support to gallery artists:
- Under the supervision of the Director, act as liaison for a selection of gallery artists, assisting with the planning of internal and external exhibitions; setting agendas for Directors’ meetings with artists; and working with gallery Archivist to update the artists’ public-facing web pages and internal archives
- Maintain a clear schedule of artists’ external exhibitions, presentations and lectures
- Manage promotional material for artists’ events and exhibitions
- Coordinate with museums, press outlets, and other institutions with interests in gallery artist
- Maintain the artists’ inventory; research and document artworks’ provenance, literature and exhibition history with regularly updates
- Collaborate with the gallery’s registrars to coordinate and document consignments and loans; ensure that works in the gallery’s inventory are properly documented
Support to the gallery:
- Develop an understanding of the gallery’s profile and priorities to inform recommendations
- Greet both clients and visitors; address their internal and external inquiries
- Maintain clean and orderly appearance of the gallery on a daily basis
- Maintain general gallery email account, contact database, gallery mailing lists and viewing appointment calendar
QUALIFICATIONS
- Bachelor’s degree in Art History or higher, required (Master’s degree preferred)
- Demonstrated interest in and knowledge of contemporary art and familiarity with the gallery’s program
- Excellent written and verbal communication skills, with interest in writing, research and archival work
- Mastery of Adobe software, including Photoshop, InDesign and Premiere; familiarity with content management software such as Artbase preferred
- Eagerness to take initiative and responsibility for independent tasks; ability to prioritize and accommodate competing deadlines
- Ability to interact comfortably with the public
