Job Description
General Scope of Duties
Provide executive-level business operations support and financial analysis to the Vice President for Finance and Administration. Manage various projects within the Finance and Administration office, including but not limited to the management of College insurances, organizational projects and legal affairs. Provide administrative and general office support to the Finance Office and committees as directed by the Vice President. Working with the Associate Vice President for Finance and Assistant Director of Financial Planning, support budget to actual reporting and analysis, investigate variances and perform basic financial projections.
General Duties and Responsibilities

Provide executive-level business operations support to the Vice President by prioritizing and managing calendar; sorting, prioritizing, and when appropriate responding to incoming correspondence; prepare outgoing correspondence; answering and directing incoming calls for the office; prepare meeting minutes; conducting research; and arrange all business travel.

Review budget to actual reports and investigate variances.

Run monthly financial reports, investigate variances and ensure excel and other files are maintained.

Prepare budget and financial reports and analyses

Provide direction and counsel to academic and staff personnel to assist them in understanding financial reports

Monitor monthly expenditure levels by department, identify, report and resolve variances from budget plan with department heads

Draft, edit, and prepare presentations, correspondence and miscellaneous documents for the Vice President.

Establish, manage and maintain files and process invoices

Ensure timely notification of insurance claims or potential claims; review and process claims; notify senior management when appropriate

Coordinate, obtain and review certificates of insurance and direct College community in resolution of claims including automobile, property loss and damage

Conduct risk management; create new contracts, waivers, hold harmless agreements, and insurance policies to protect the College’s assets

Collect and review information & material for insurance renewal and prepare renewal packages

Maintain and manage communication with insurance broker, carriers, College community and outside counsel

Provide clerical support for committee and board meetings to include scheduling, preparation of agenda, gathering materials and preparing board mailings, preparing minutes and archiving documents

Maintain communication with trustees, including but not limited to the audit & risk management, finance and facilities & infrastructure committees and investment committee

Manage, monitor and process legal services invoices and act as the liaison/primary contact between law offices and the College to resolve any discrepancies and provide information.

Administer legal contracts including, but not limited to, tracking renewals and verifying contract compliance.

Supervise student workers in the Finance and Administration office.

Coordinate organizational projects and improvements for the division.

Act as a direct representative of the Vice President for Finance and Administration at meetings as directed.
Education and Skills
-
Bachelor’s Degree required with 5 years of administrative, financial and managerial experience required.

Strong written and verbal communication skills as applied in preparing and analyzing financial report for a variety of constituents.

Strong computer skills preferably in the Microsoft Office Suite of products with a strong emphasis on spreadsheet development and maintenance.

Ability to interact well with a variety of people from all aspects of the college and community (including senior management) and work proactively and independently.

Proficient in office software applications including Microsoft Office (including Word, Excel and PowerPoint) and Google (calendar, email, drive, and docs).

High integrity needed to handle confidential information.

Knowledge of general office equipment.

Attention to detail.

Well-organized, able to work under pressure and prioritize, able to handle multiple projects, plan and accomplish goals.
