Overview:
We are seeking a highly organized and dynamic Personal Assistant with a sunny disposition to support a renowned British Author/Historian. The successful candidate will work out of a home office/library in a family brownstone in the Gramercy area of NYC. Candidates must reside within comfortable commuting distance. This position is onsite 5 days per week.
Bring ease and organization to the life of a busy public figure, their family, pets, and properties through dedicated administrative and personal support in a vibrant and purposeful environment.
The previous NYC PA has been in the role for 3 years and is moving to the UK to replace the London PA who is retiring. This is a harmonious working environment.
Personal Assistant experience essential

Key Responsibilities:
Personal Assistant Duties:
- Manage household staff across two homes in New York, administering work schedules, payroll, and benefits.
- Work closely with the PA in the London home office
- Run errands, pack and plan ahead for trips, and coordinate family and British school / college schedules.
- Provide concierge services, including personal shopping, private cars, concert ticket requests, restaurant reservations, and tailoring.
- Coordinate the shipping and installation of fine art and antiques from auction houses.
- Manage petty cash, invoice and bill remittance, and expense reports in coordination with off-site bookkeepers and accountants.
- File medical, property, and automobile insurance claims.
- Organize local and international events, including on-site at exclusive private clubs and additional venues, managing all aspects from guest lists to menu selections and floral arrangements.
- Manage the author's calendar and extensive travel arrangements.
- Act as a gatekeeper; field calls and protect the author's writing time and space.
- Keep track of important family events.
- Anticipate schedule changes and make sensible decisions on behalf of the author and family.
Research/Media Management:
- Catalog bibliographic references for research projects.
- Manage and expand social media accounts.
- Conduct extensive academic research, gather sources, build bibliographies, and collate research materials.
Skills and Qualifications:
- Proficiency in Instagram, Twitter, Google Suite, and MS Office.
- Excellent organizational skills and the ability to manage multiple high-priority tasks.
- Mental agility and a proactive approach to anticipating needs and changes.
- Strong communication and interpersonal skills.
- Experience in event management and academic research is preferred.
