Chelsea based gallery is seeking a full-time Registrar. The candidate will perform various registrarial tasks, including inventory maintenance, shipping coordination, file management and archiving.
Qualified candidates should be highly personable, proactive, adept at multitasking, and have strong written and oral communication skills. We are looking for someone who can work well within a small team and has a "no task is too small" attitude.
Essential Job Functions:
- Implements and maintains standards for gallery inventory, including all objects in gallery locations, off-site storage facilities, and gallery private collection.
- Enters all new inventory, including object information, status, terms, provenance, history, finance, and pricing.
- Updates and maintains accurate records for each inventory object.
- Oversees Archivists to research information pertaining to objects with incomplete or incorrect records.
- Follow up with appropriate parties to make sure that all information is accurate.
- Implements and maintains standards for all non-art inventory (i.e., crates, pedestals, furniture, fixtures) and makes sure that information and locations are accurate and up to date.
- Review non-art inventory quarterly to ascertain gallery needs and confirm information.
- Creates and generates all documents relating to Incoming and Outgoing Consignments, Incoming and Outgoing Loans, on-approval loans, and Memoranda.
- Ensures that all documents are up-to-date and signed by all parties.
- Follows up with expired paperwork for renewals, extensions, and terminations.
- Ensures that documents are saved in hard-copy and digital format for easy access by all pertinent staff.
- Supplies documents, agreements, and inventory information to staff not based in New York.
- Coordinates all international and domestic creating, packing, and shipping for incoming and outgoing works, including loans, consignments, purchases, sales, exhibitions, and art fairs.
- Obtains estimates and confirms invoicing.
- Generates all necessary paperwork needed for shipping, including packing and crating lists, pro forma, invoices, and receipts.
- Keeps complete and accurate records of all shipping, including BOLS, AWBs, and insurance certificates.
- Completes condition reports when needed.
- Creates and generates all checklists and pricelists for exhibitions and art fairs.
- Confirms retail values for all works and updates inventory.
- Ensures that all staff have access to information and that any changes are made clear.
- Facilitates all special projects with Artists and Estates.
- Manages paperwork for special projects, including consignments, loans, museum exhibitions, donations, and gifts.
- Works with sales / artist liaison staff to coordinate logistics.
- Assists in gathering research, photography, insurance, rights and reproductions, and any other details pertaining to special projects.
- Coordinates all photography, framing, and conservation.
Qualifications:
· Bachelor’s Degree required, with a background in fine art or art history preferred
· Registration experience in a gallery or museum setting
· Excellent written and oral communication skills
· Excellent time management skills and the ability to work both collaboratively and independently
· In-depth knowledge of various materials and techniques
· Understanding of NYS Sales Tax regulations as it pertains to shipping art
· Proficiency in ArtBase, Adobe Suites, and Microsoft Office
· Consistency, reliability and professionalism
· A sense of teamwork to support staff members who work in various capacities
Hours are Monday through Friday (in the office), 10 AM – 6 PM. Additional hours for gallery events, exhibitions, art fairs, and viewings are required.
