Responsibilities
- Organize, maintain, and manage legal documents, including case files, pleadings, contracts, and correspondence, ensuring timely and accurate filing in NY, NJ, and Federal Courts.
- Assist in preparing legal documents, such as briefs, motions, and discovery requests, and coordinate filings in both state and federal courts.
- Communicate with clients, opposing counsel, and other parties as directed, maintaining professionalism in all interactions.
- Schedule and manage appointments, meetings, hearings, and court dates, ensuring attorneys are reminded of upcoming deadlines and appearances.
- Provide general administrative support, including drafting correspondence, answering phones, and managing emails. Direct inquiries and calls to the appropriate parties.
- Oversee office operations, including coordinating office supplies and equipment, and collaborate with headquarters to facilitate necessary orders.
- Manage attorneys’ calendars, appointments, and meetings.
- Coordinate travel arrangements and accommodations.
Qualifications
- Minimum of 3 years of relevant experience in a legal environment.
- Bachelor’s degree in legal studies or a related field.
- Proficiency in MS Word and Outlook, with the ability to quickly learn other applications.
- Experience with Best Authority software for creating tables of authorities.
- Experience with e-filing in State (NJ/NY) and Federal courts.
- Familiarity with NetDocuments or similar document management systems.
- Experience with SurePoint or similar billing software.
- Strong organizational and multitasking abilities.
- Proven ability to prioritize tasks and manage workflow efficiently.
- Professional communication skills.
