Ping Chong and Company seeks a part time Operations & Communications Coordinator to join the Company during the final phase of a three year organizational transition. We are seeking individuals whose values are aligned with PCC’s collaborative, artist-centered, experimental approach to the creation of new interdisciplinary performance work by artists of color. This is a pivotal operational support role for the organization. The ideal candidate must possess a talent for detail while being adept at multitasking. This role also requires a thorough and reliable self-starter who is comfortable working independently and collaboratively.
The Operations & Communications Coordinator is responsible for the following areas as outlined below:
Operations Tasks:
- Update organizational calendar.
- Schedule and confirm bi-weekly staff meetings.
- Take notes at staff meetings.
- Help organize physical office files.
- Update and maintain inventory lists of supplies and equipment in office closet and storage units.
- Place office supply orders, as requested.
- Ensure the office is organized and tidy and coordinate office cleaning staff scheduling and payment.
- Complete local administrative errands (post-office, check deposits, etc.).
- Update donor contact and donation information in the database.
- Retrieve and sort daily mail.
- Scan and send financial and administrative related correspondence to the financial management team.
- Upload receipts and invoices to the fiscal management tracker (Airtable)
- Prepare petty cash payments, receipts.
- Provide project management support for workshops, projects and events.
- Track comp ticket requests and communicate with box office staff for events and productions.
Communications Tasks:
- Populate and schedule communications calendar for the Company in consultation with staff, and stay updated on the latest events and announcements.
- Collect content drafts and visual assets for website updates, e-blasts, and social media posts. Circulate for review and publish.
- Upload, label, & organize photos and videos for future use.

- Highly organized, reliable, detail oriented, and thorough
- Highly responsive and a clear communicator, expectation will be to regularly respond to and track correspondence by multiple individuals
- Ability to complete designated tasks and follow directions with autonomy and efficiency
- Familiarity with Outlook & Microsoft Office, and Google platforms
- Experience with social media posting and platforms
Desired Experience
- Familiarity with Photoshop, Canva or similar, preferred
- Familiarity with reviewing copy and visuals for events, performing or visual arts, a plus
- Past experience working with donor/audience management databases like Sharesync or Neon, a plus
