ASSOCIATE DIRECTOR OF EVENTS
POSITION
The New York Academy of Art seeks an experienced and creative individual for the role of Associate Director of Events. The ideal candidate is a team leader with a hands-on approach and must have a background in event production and working with event leadership. The Associate Director of Events will produce and manage all non-art-related elements of Academy productions including three primary fundraising events, as well as openings, cultivation dinners, and facility rentals. The position is mid-level, full-time permanent and requires 5 days per week (to occur sometime during the hours Monday through Friday, 10am-6pm in-person at the New York Academy of Art). Occasional weekend and overtime work may be necessary.
HISTORY
The New York Academy of Art was founded in 1982 by artists, scholars and patrons of the arts, including Andy Warhol, to foster a resurgence in the training of figurative and representational art. The Academy has since developed into a 501 (c)(3) non-profit cultural institution housing the nation’s first graduate school of figurative art, a continuing education program, the region’s most in-depth figurative art library, an extensive exhibition and lecture series, and iconic New York City events such as Take Home a Nude and Tribeca Ball.
RESPONSIBILITIES
· Produce and manage three major fundraising events annually: Tribeca Ball, Take Home a Nude, and Deck the Walls
· Manage all aspects of pre- and post-event logistics from benefit committee appeals to tax acknowledgment letters
· Support and assist Chief of Staff with pre- and post-event donor communications as related to fundraising activities
· Oversee events that support exhibitions, donor cultivation, art fairs, school events and programs
· Cultivate relationships with event sponsors, vendors, and VIP donors
· Coordinate with the Creative Director on all event materials to effectively promote sales, attendance, and giving
· Oversee printed materials for events, including save the dates, invitations, programs, signage, etc.
· Project, manage, and track department budgets, as well as produce year-over-year events budget comparisons
· Source, hire and manage contract/freelance event talent, staff, and volunteers
· Work with the Chief of Staff and Database Administrator to manage donor information
· Solicit, schedule, and manage onsite event and exhibition space rentals
· Maintain event collateral archives
REQUIREMENTS
· Minimum 1-2 years of experience in event production, preferably non-profit fundraising events, and working with event leadership and major donors
· Ability to manage a team of contract/freelance staff and volunteers
· Strong writing, communication, interpersonal, and organizational skills—comfortable communicating with donors and event guests via phone or Zoom
· Ability to multitask and manage multiple projects simultaneously
· Position will require occasional evening and weekend assignments
· Must have thorough knowledge of Excel and Word; Salesforce experience a plus
