Full-time Gallery Associate / Receptionist

Our prominent gallery in Tribeca is looking for a seasoned Gallery Associate/Receptionist to join our team. This individual will be the first point of contact for our clients and visitors when entering our space.
Qualified candidates should be highly personable, have a polished, professional appearance, and have the ability to multi-task and work well in a team environment. The Gallery Assistant should possess exceptional phone manner, meticulous attention to detail, organizational skills, a willingness to learn about the history of the gallery and the art industry, and have a great memory for faces.
Responsibilities include, but are not limited to the following:
– Open and close the gallery daily; come early or stay late as needed to open/close for private viewings/events.
– Greeting visitors with a professional and friendly demeanor, answering questions about the exhibitions and artists, directing sales inquiries onto the appropriate staff.
– Fielding incoming and outgoing phone calls from what can often be a busy switchboard in a friendly and professional manner.
– Keep updated on knowledge of the exhibitions and artists represented as well as the internal calendar.
– Quickly become familiar with our client base and announce client's arrival to appropriate director.
– General office maintenance, including keeping inventory and ordering office supplies, snacks, and beverages.
– Managing incoming and outgoing gallery mail and packages.
– Keeping an organized and tidy work area and helping to keep other shared spaces tidy.
– Maintaining the gallery’s general email account, and carefully and swiftly passing inquiries onto the appropriate staff.
– Fulfilling book shop orders from the website and walk-in purchases.
– Preparing checklists and previews for the New York gallery’s exhibitions alongside the artist liaisons.
– Prepare shipments and messenger deliveries, book reservations for appointments when needed.
– Assisting with set-up and break-down of gallery openings and other special events.
– Maintain credit card receipts for Managing Director’s expense reports.
– Management and upkeep of the gallery directory and staff list.
– Support Director that oversees auctions and regularly preparing related reports.
– Providing extra support for artists and other senior staff as necessary
Requirements:
– Bachelor’s Degree in Art History or a related field.
– One to two years’ experience as a gallery receptionist or in a similar role, not including internships.
– Excellent verbal and written communications skills.
– Strong organizational skills and attention to detail.
– Excellent interpersonal skills and ability to work well in a team environment.
– Must be proficient with Microsoft Office and Adobe Suite, familiarity with Art Logic or similar database is a plus.
– Possess extensive knowledge of and enthusiasm for the arts, along with an excellent memory for faces.
Full-Time/Regular/Non-Exempt/Salaried position: $50,000 - $55,000 annually with generous benefits package.
The position is Tuesday-Saturday from 10-6pm with additional hours for openings and events.
