Disney Theatrical Group currently seeks an enthusiastic, hard-working Executive Assistant to support the Senior Vice President, Licensed Partnerships and Brand Management. This role must ensure an efficient and approachable office atmosphere, manage the constant flow of information, and proactively coordinate the demanding workload of the team.
An ideal candidate will demonstrate poise, discretion, and sound judgment along with a high level of maturity, and ideally will have experience as an executive assistant. A successful candidate should be adept at understanding the nuances of supporting executive management, as well as various team members, with strong interpersonal skills to work effectively with diverse styles and shifting priorities.
Responsibilities:
Provide administrative support to Senior Vice President, Licensed Partnerships and Brand Management.
- International Communication: Be available for early morning or late-night calls with international partners as required. Proactively manage executive schedules to accommodate calls across different time zones.
- License Partner Support: Coordinate the internal approval process for marketing and communications requests from licensed partners by tracking approvals, revisions, and feedback loops.
- Calendar Management: Facilitate meetings including communicating participants with time, location, attendees, and agenda. Set up conference calls and operate the videoconferencing system when necessary. Regularly review daily/weekly/monthly calendar and travel plans and anticipate information on materials required in advance.
- Executive Travel: Coordinate domestic and international travel. Provide executives with complete and accurate itineraries with directions.
- Phone Coverage: Answer phone calls promptly and cordially. When executives are not immediately available, actively solidify a time to return and ensure complete follow-up.
- Expense Reporting: Reconcile corporate card payments promptly, and prepare expense reports for the Finance Department.
Serve as a liaison between other departments, including the Executive Office and International DTG Offices.
Coordinate storage/facility needs, ordering supplies, business cards, stationery, etc.
Arrange weekly department meetings and assist in the coordination of events.
Welcome and host guests/visitors as required including, on rare occasions, greeting guests/visitors at DTG’s productions on nights and/or weekends.
Provide project support as required, at times including off-site support.
Basic Qualifications:
- 2+ years of executive-level administrative support experience
- Well-versed in all areas of Microsoft Office, including Outlook, Word, Excel
- Advanced proficiency with Apple products (Mac, iPad, iPhone).
- Expert-level PowerPoint and Keynote skills are an absolute must.
- Knowledge of how to operate audio/visual videoconferencing equipment.
- Proven organizational skills, with attention to detail and follow-through.
- Strong verbal, written, and interpersonal communication skills.
- Experience and success working effectively with diverse and strong personalities.
- Comfortable prioritizing multiple tasks and maintaining a professional demeanor in a fast-paced environment.
- Flexibility to work overtime, when required.
- Responsibilities may include errands and occasional heavy lifting (up to 50 lbs.)

The hiring range for this position in New York is $61,500.00 to $82,300.00 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
